Sharing a dashboard
You can share a dashboard with your workspace, or create a view-only link for people who don't have a SoterAI account. Either way, people you share with can only view the dashboard. Only you can change it.
Open the sharing options
Click Share in the dashboard's header, or choose Share from the card's ⋯ menu on the Dashboards page. Under Who can view, choose one of:
Only me (default)
Private. Nobody else in the workspace sees it.
Workspace
Members of the workspace with dashboard access can view it. Only you can edit.
Anyone with the link
Public. The link opens without signing in.
Changes are saved straight away and a Sharing settings updated message appears. Click Done to close the dialog.
The current setting is shown as a label next to the dashboard's title. Hover over it for a short explanation, for example Only you can see this dashboard.
Share with your workspace
Choose Workspace. Members with access to dashboards can open and view it. They can't chat about it, change it, lock it, refresh it or share it further, and they don't get access to the chat it was built in.
To send a colleague straight to the dashboard, click Copy workspace link in the sharing dialog or in the ⋯ menu. The link only works for people who are allowed to view the dashboard.
Before you share a public link
A public link shows everything on the dashboard to anyone who has it, including data added by future refreshes. Check that the dashboard doesn't show personal or sensitive information before you share it, and again whenever you change what it shows. Revoke links you no longer need.
Create a public link
- 1Open the sharing options and choose Anyone with the link.
- 2In Make this artifact public?, click Make public.
- 3Under Public link, click Copy link and send it to the people who need it.
While the link works, its status shows Live. For security, the address is shown only partly. Use Copy link to get the full link. The link doesn't expire.
If there's no link yet (for example, after you revoked one), the section shows No public link. Click Create link to make a new one.
What people with the link see
They see the dashboard with its latest data, which updates whenever the dashboard is refreshed. They can't:
- use the chat or any other SoterAI tools;
- change the dashboard;
- open the records or sources behind it;
- see anything else in your workspace.
Pause, replace or revoke a public link
| To… | Do this | What happens |
|---|---|---|
| Pause the link | Choose Only me or Workspace. | The link shows Paused and stops working, but keeps its address. Choose Anyone with the link again and the same link works again. |
| Replace the link | Click ⋯ next to Copy link › Replace link… and confirm. | A new address is created. The old one stops working permanently, so send the new link to anyone who still needs it. |
| Revoke the link | Click ⋯ next to Copy link › Revoke link… and confirm. | The address stops working permanently and can't be restored. Revoking doesn't change who can view the dashboard. To share again, click Create link. |
While a dashboard is archived, its public link is paused and the sharing options can't be changed. The dialog says Public links are unavailable while this artifact is archived. Any existing URL is preserved. You can still replace or revoke the link. When you restore the dashboard, the same link works again.
Sharing the chat isn't sharing the dashboard
The Private / Public switch at the top of a chat controls who can read that conversation. Hover over each option to see what it means: Only you can see this chat. or Workspace members can see this chat. It's separate from the dashboard's own sharing:
- Making a chat public lets workspace members read it, but not write in it. They see This chat is view-only. Only the author can continue a dashboard chat.
- A dashboard inside a public chat stays private unless you share the dashboard itself. Colleagues see A dashboard in this chat is private, so only its author can open it.
- Sharing a dashboard doesn't share the chat it was built in.
Things to know
Sharing never gives edit access
Only the author can change a dashboard.
Pausing isn't revoking
A paused link keeps its address and works again if you make the dashboard public again. Revoke it to switch it off for good.
Deleting the chat deletes the link
If the chat a dashboard was built in is permanently deleted, the dashboard and its public link are deleted too.

A public link is the way to show a dashboard to people outside SoterAI.
