SoterAI Dashboards

The Dashboards page brings together the dashboards, diagrams and other interactive pages you build with SoterAI. You describe what you need in a chat, SoterAI builds it from your data, and you refine it by asking for changes. You can then lock the design, keep the data up to date on a schedule, and share it with your workspace or with anyone through a view-only link.

How it works

Every dashboard is built in a chat with SoterAI. When it's ready, it opens in a panel beside the chat, so you can keep asking for changes while you look at it. You can also open it on its own, full-page view.

A dashboard stores two things: its design (layout, charts, theme) and the data from its most recent refresh. When the data is refreshed, on a schedule or when you click Update now, SoterAI gathers the figures again and replaces the numbers. The design stays as it is. Dashboards don't query your sources continuously: they show the data as of the last refresh, and each dashboard shows when it was last updated.

The Dashboards page

Open Dashboards from the left-hand navigation. The page lists the dashboards, diagrams and other artifacts saved in the workspace, on two tabs:

  • Active: everything you're using, including dashboards you're still working on.
  • Archived: everything you've archived.

To find something quickly, type in Search dashboards…. It filters the tab you're on by title. If nothing matches, click Clear search to see everything again.

Click Create to start something new. You can choose Dashboard, Diagram, Tool, Form or Something else. See Building a dashboard.

Cards

Each item appears as a card showing its title, who can view it (for example, Private), who created it and when it was last updated. Click a card to open it in the full-page view. If you're the author, you can also click Updated … on the card to refresh a Live dashboard straight away, or click Locked to unlock its design.

The ⋯ menu on a card offers:

OptionWhat it does
ShareOpens the sharing options. See Sharing a dashboard.
RenameChanges the dashboard's name. You can also click the title in the dashboard's header. Not available while the design is locked.
Update nowRefreshes the data straight away. Available only on Live dashboards. See Keeping a dashboard up to date.
Lock design / Unlock designLocks or unlocks the design. See Locking a dashboard.
Copy workspace linkCopies a link to the dashboard inside SoterAI. It works for people who are allowed to view the dashboard.
ArchiveMoves the dashboard to the Archived tab.

On the Archived tab, the menu offers Restore and Copy workspace link.

Opening a dashboard

A dashboard opens either beside its chat or in the full-page view. The header shows its title, who can view it, Locked when the design is locked, Live when it can be refreshed through a linked workflow, and when it was last updated. Hover over a label for a short explanation. Click the title to rename the dashboard. The controls are:

  • All Dashboards (full-page view only): returns to the Dashboards page.
  • Open chat (full-page view only): returns to the dashboard's chat.
  • Update now: Live dashboards only.
• Share: opens the sharing options.
  • The padlock: Lock design or Unlock design.
  • ⋯: Copy workspace link and Archive, plus Open full page when the dashboard is open beside its chat.
  • Close (beside the chat only): closes the panel.

Archiving and restoring

Archiving takes effect straight away and moves the dashboard to the Archived tab. An archived dashboard shows an Archived label and the message This artifact is archived. Edits, updates and component chat are paused until you restore it. To bring it back, click Restore on that message, or open the Archived tab, open the card's ⋯ menu and click Restore.

While a dashboard is archived:

  • Its public link doesn't work. If the dashboard is still set to Anyone with the link when you restore it, the same link works again.
  • It can't be updated. If the dashboard is Live, its scheduled refresh keeps running but can't change it. If you no longer need the refresh, turn off its schedule. See Keeping a dashboard up to date.

Dashboards you created before

Dashboards you built in chats before the Dashboards page existed are listed here too. A dashboard from a private chat is private; a dashboard from a chat you made public is shared with your workspace. From now on, only you can continue those chats.

Deleting a dashboard

A dashboard belongs to the chat it was built in. If you permanently delete that chat, its dashboards and any public links are deleted with it. SoterAI warns you before this happens. If you might need the dashboard again, archive it instead.

Who can do what

Only the person who created a dashboard (its author) can change it. Others can view it once it has been shared with them.

Workspace owners and managers don't get extra rights over someone else's dashboard, and co-editing isn't available. A colleague who wants a version they can change should build their own dashboard.

If a colleague opens a dashboard's chat, they can read it but not write in it. Instead of the message box they see This chat is view-only. Only the author can continue a dashboard chat.

Things to know

  • Data is as of the last refresh. Make a dashboard Live, or click Update now, to bring in newer data.
  • All changes go through chat. You can't drag, resize or restyle components by hand.
  • Locking protects the design, not the data. A locked dashboard still refreshes.
  • Public links don't expire. Setting a dashboard back to Only me or Workspace pauses its link; revoke the link to switch it off for good.
  • Sharing a dashboard doesn't share its chat, and the other way round. The chat's Private / Public switch and the dashboard's sharing are separate settings. See Sharing a dashboard.
  • PDF export isn't available yet. To show a dashboard to someone outside SoterAI, share a view-only link.
