Using Pipedrive with SoterAI

Connect your Pipedrive CRM account to SoterAI and access your deals, contacts, organisations, and activities directly inside your chats and workflows.

What SoterAI can access

Once connected, SoterAI has read-only access to:

  • Deals and their pipeline stages
  • Contacts and contact details
  • Organisations and company records
  • Activities: calls, meetings, tasks, and their status
  • Deal notes and associated files
  • Pipeline and stage metadata

Read-only access: SoterAI can read and search your Pipedrive data, but cannot create, edit, or delete any records or activities.

What SoterAI cannot do

  • Cannot create, edit, or delete deals, contacts, organisations, or activities
  • Cannot move deals between pipeline stages
  • Cannot send emails or log communications on your behalf
  • Cannot access Pipedrive organisations or pipelines your user does not have permission to view
  • Cannot manage Pipedrive settings, pipelines, or user permissions

How to connect Pipedrive

  1. In the SoterAI chat bar, click the puzzle piece icon
  2. In the Connectors panel, find Pipedrive and click Connect
  3. An authorisation link will appear — click it
  4. Sign in to your Pipedrive account in the browser window that opens
  5. Grant SoterAI read access when prompted
  6. Return to SoterAI — Pipedrive now shows as Connected

Your connection is persistent — you won't need to reconnect each session. If your connection expires, SoterAI will prompt you to reconnect.

What you can ask SoterAI

Once connected, just ask naturally in any chat or workflow:

Finding records

  • “Find the deal for [company name] in Pipedrive”
  • “Show me all deals in the proposal stage in Pipedrive”
  • “What open deals do I have with safety consultancy clients?”

Reading and summarising

  • “Summarise the deal history for [company name] in Pipedrive”
  • “What activities are scheduled for the [client name] deal this week?”
  • “What notes are on the [deal name] deal in Pipedrive?”

Using in workflows

  • “Pull the deal details from Pipedrive and help me prepare for the client safety briefing”
  • “Read the activities on the [client] deal and summarise the outstanding follow-ups”
  • “Use the organisation details from Pipedrive to draft a tailored safety proposal outline”

Use cases

Pre-meeting client preparation

Before a client meeting, ask SoterAI to retrieve the deal details and recent activity notes from Pipedrive and use them to prepare a briefing — giving you a complete picture of the client relationship without leaving SoterAI.

Pipeline-based safety reporting

For safety consultancies and insurers managing client pipelines in Pipedrive, ask SoterAI to retrieve deal data and use it to generate tailored safety summaries or proposals for each client.

Follow-up management

Ask SoterAI to retrieve overdue activities from Pipedrive and summarise the outstanding follow-ups across your deals — helping you stay on top of client commitments without manually reviewing each deal.

Troubleshooting

My Pipedrive connection expired

Ask SoterAI “Reconnect to Pipedrive” and follow the authorisation link it provides.

SoterAI can't find a deal or contact I know exists

Confirm your Pipedrive user has access to that pipeline or deal. If visibility is restricted by role, contact your Pipedrive administrator. Try specifying the deal or organisation name directly: “Find the deal called [name] in Pipedrive”.

SoterAI can access Pipedrive but returns incomplete information

Some Pipedrive fields may be restricted by your user permissions or field visibility settings. Contact your Pipedrive administrator to check if field-level access is limiting the data SoterAI can retrieve.
