Using OneDrive with SoterAI

Connect your Microsoft OneDrive to SoterAI and access your files and documents directly inside your chats and workflows — without downloading or re-uploading anything.

What SoterAI can access

Once connected, SoterAI has read-only access to:

  • Files and folders in your personal OneDrive
  • Files shared with you from other OneDrive accounts
  • File metadata: name, owner, file type, last modified date
  • Content of supported file types: Word documents, PDFs, Excel spreadsheets, PowerPoint presentations, and text files

Read-only access: SoterAI can read and analyse your OneDrive content, but cannot create, edit, move, rename, or delete any files or folders.

What SoterAI cannot do

  • Cannot create, edit, move, rename, or delete files or folders
  • Cannot access files not shared with your Microsoft account
  • Cannot upload files to OneDrive on your behalf
  • Cannot access OneDrive for Business accounts separately from your personal OneDrive unless they are linked to the same Microsoft account

How to connect OneDrive

  1. In the SoterAI chat bar, click the puzzle piece icon
  2. In the Connectors panel, find OneDrive and click Connect
  3. An authorisation link will appear — click it
  4. Sign in to your Microsoft account in the browser window that opens
  5. Grant SoterAI read access when prompted
  6. Return to SoterAI — OneDrive now shows as Connected

Your connection is persistent — you won't need to reconnect each session. If your connection expires, SoterAI will prompt you to reconnect.

What you can ask SoterAI

Once connected, just ask naturally in any chat or workflow:

Finding files

  • “Find the safety inspection checklist in my OneDrive”
  • “Search OneDrive for any documents about the site risk assessment”
  • “What safety-related files do I have in my OneDrive?”

Reading and summarising

  • “Summarise the contractor induction document in my OneDrive”
  • “What are the key requirements in the safety procedure I stored in OneDrive?”
  • “Read the permit to work template from OneDrive and explain the approval steps”

Using in workflows

  • “Use the toolbox talk template from my OneDrive to generate a session on manual handling”
  • “Pull the risk matrix from OneDrive and apply it to the working at height activity I'm planning”

Use cases

Personal document access

When you save safety documents, templates, or notes to your personal OneDrive, ask SoterAI to retrieve and work with them directly — turning stored files into actionable outputs without manual uploads.

Safety template library

Keep your organisation's safety templates in OneDrive and ask SoterAI to use them as the basis for generating toolbox talks, risk assessments, or induction materials tailored to specific tasks.

Field reference

When on site, access your OneDrive-stored procedures and checklists through SoterAI without needing to open separate apps or search through folders manually.

Troubleshooting

My OneDrive connection expired

Ask SoterAI “Reconnect to OneDrive” and follow the authorisation link it provides.

SoterAI can't find a file I know exists in OneDrive

Check that the file is saved to your connected OneDrive account. If it's shared from someone else's OneDrive, confirm it was shared directly with your account. Try searching by file name: “Find a file called [filename] in my OneDrive”.

SoterAI can find the file but returns incomplete content

Very large documents may be partially processed. Try asking SoterAI to focus on a specific section or ask it what it can access from the file first.
