Using Microsoft Teams with SoterAI
Connect your Microsoft Teams account to SoterAI and retrieve messages, meeting notes, and team conversations directly inside your workflows.
What SoterAI can access
Once connected, SoterAI has read-only access to:
- Messages in Teams channels you are a member of
- Chat messages and group chat conversations
- Meeting chat messages and notes
- Message metadata: sender, timestamp, channel or chat name
- Files shared within Teams channels and chats
Read-only access: SoterAI can read your Teams messages and files, but cannot send, post, edit, or delete any messages or files.
What SoterAI cannot do
- Cannot send, post, edit, or delete messages or files
- Cannot create, manage, or archive Teams channels or teams
- Cannot schedule or create meeting invites
- Cannot access Teams or channels your account is not a member of
- Cannot access Teams admin settings or policies
How to connect Microsoft Teams
- In the SoterAI chat bar, click the puzzle piece icon
- In the Connectors panel, find Microsoft Teams and click Connect
- An authorisation link will appear — click it
- Sign in to your Microsoft account in the browser window that opens
- Grant SoterAI read access when prompted
- Return to SoterAI — Microsoft Teams now shows as Connected
Your connection is persistent — you won't need to reconnect each session. If your connection expires, SoterAI will prompt you to reconnect.
What you can ask SoterAI
Once connected, just ask naturally in any chat or workflow:
Finding messages
- “Search Teams for any recent messages about the site safety review”
- “What was discussed in the Safety Team channel this week?”
- “Find messages about the contractor risk assessment in Teams”
Reading and summarising
- “Summarise the last discussion in the HSE channel on Teams”
- “What actions were agreed in the safety meeting chat?”
- “What did the team say about the new permit to work procedure in Teams?”
Using in workflows
- “Pull the incident details from the Teams safety channel and create a record”
- “Use the action items from the Teams meeting chat to build a follow-up checklist”
Use cases
Post-meeting follow-up
After safety meetings conducted in Teams, ask SoterAI to retrieve the meeting chat and summarise agreed actions, decisions, and outstanding items — turning conversation into trackable outputs.
Cross-team safety awareness
When safety information is shared across multiple Teams channels, ask SoterAI to search across them and consolidate the key points without switching between each channel manually.
Remote site communication
For teams working across sites using Teams as the primary communication tool, ask SoterAI to retrieve and summarise site-specific channel activity to stay informed about safety conditions and incidents.
Troubleshooting
My Microsoft Teams connection expired
Ask SoterAI “Reconnect to Microsoft Teams” and follow the authorisation link it provides.
SoterAI can't find a message I know exists
Confirm your account is a member of the channel or chat where the message was posted. Try narrowing the search: “Search the [channel name] channel in Teams for messages about [topic]”.
SoterAI can access Teams but not a specific channel
Private channels have separate membership in Teams. If the channel is private, confirm your account has been added to it. You may need to reconnect after being added.
