Using Google Drive and Calendar with SoterAI
Connect your Google Drive and Calendar account to SoterAI and work with your files and documents directly inside your chats and workflows — no switching tabs, no copy-pasting.
What SoterAI can access
Once connected, SoterAI has read-only access to:
- Files and folders in your personal Google Drive
- Shared drives your Google account has access to
- File metadata: name, owner, file type, last modified date
- Content of supported file types: Google Docs, PDFs, Word documents, spreadsheets, text files, and presentations
Read-only access: SoterAI can read and analyse your Google Drive content, but cannot create, edit, move, rename, or delete any files or folders.
What SoterAI cannot do
- Cannot create, edit, move, rename, or delete any files or folders
- Cannot access files not shared with your Google account
- Cannot upload files to your Drive on your behalf
- Cannot access content in Google Forms or Google Sites
How to connect Google Drive
- In the SoterAI chat bar, click the puzzle piece icon
- In the Connectors panel, find Google Drive and click Connect
- An authorisation link will appear — click it
- Sign in to your Google account in the browser window that opens
- Grant SoterAI read access when prompted
- Return to SoterAI — Google Drive now shows as Connected
Your connection is persistent — you won't need to reconnect each session. If your connection expires, SoterAI will prompt you to reconnect.

Safety document review
Before a site audit, ask SoterAI to pull your inspection checklists and compliance documents from Drive and summarise the key requirements. SoterAI surfaces the right information without you needing to search through folders manually.
Policy and procedure access
Store your safety policies in Drive and ask SoterAI to reference them directly when generating toolbox talks, risk assessments, or induction materials — keeping output consistent with your documented procedures.
Cross-referencing historical records
Ask SoterAI to retrieve past incident reports or audit results from Drive and compare them against current findings, identifying trends or recurring issues over time.
Troubleshooting
My Google Drive connection expired
Ask SoterAI “Reconnect to Google Drive” and follow the authorisation link it provides.
SoterAI can't find a file I know exists
Make sure the file is accessible to your Google account. If it's in a shared drive, confirm your account has been granted access. Try asking SoterAI to search by file name directly: “Find a file called [filename] in my Drive”.
SoterAI can read the file but the content looks incomplete
Some Google-native formats (e.g. Google Slides) may return limited content. Try asking SoterAI to describe what it can access, or export the file to PDF in Drive first and ask again.
