Opening a project takes you into the project work area. This is where you start chats and workflows, gather your files and links, set shared instructions and manage who's involved. This article walks through each part.
Opening a project
Select Open Project on any project tile. A project opens on the Timeline tab so you can see recent activity straight away. Along the top of the work area you'll find the project name, a status badge (Active, Completed or Archived) and a Private/Public badge, an All Projects link back to the home page, and the New Chat and New Workflow buttons.
At the far right of the header is a three-dot (⋮) menu — the project's actions menu. Open it to Edit Project (rename and change the description), change the project's status, or switch it between Make Public and Make Private. The menu is context-sensitive: on an active project it offers Edit Project, Complete Project, Archive Project and Make Public/Make Private; on a completed or archived project the Complete and Archive items are replaced by Reopen Project. These are the same actions available from the three-dot (⋮) menu on the project's tile — see Creating and managing your projects for details.
The four project tabs
Timeline
The Timeline is a chronological history of every chat and workflow run in the project, shown as a sortable table with columns for the conversation name, its type (for example, General Chat or a custom workflow), when it was last updated, and its owner. Select a row to jump straight back into that chat or workflow, and sort by last updated to bring recent work to the top.
Each row also has a summary. Summaries are written by SoterAI to capture what happened in a session; open one to read it in a dialog, where you can also edit it by hand to refine the record for your team.
To bring in earlier work, select Add Existing Chat and search for a chat to attach (see Adding an existing chat to a project). Before anything is in the project, the Timeline shows: “Nothing here yet — Start a chat or workflow, or add an existing chat to see it in the timeline.”
Sources
The Sources tab holds the files and URLs that give every chat and workflow in the project extra context — “Files and URLs that give every chat and workflow extra context.” SoterAI can read these directly when you work in the project. Use Add URL to add a link, or Upload File to add documents. Each source is listed in a table with its name, type, size and when it was added; a per-row actions menu lets you view or download a file, open a URL, or remove the source. PDFs preview inline; other file types download.
- Adding a URL: the Add URL dialog takes the URL and an optional name; the page is then available to the AI as project context.
- Uploading files: the Upload files dialog lets you drag and drop, or click to browse, and add up to 10 files at a time. Supported types are .doc, .docx, .pdf, .xlsx, .xlsm, .xls, .csv, .ppt and .pptx, up to 200 MB each — the same limits as Data Sources, on every plan.
Removing a source only detaches it from the project and deletes the project's copy. It never affects files inside your chats or your workspace Data Sources.
Instructions
The Instructions tab is a free-text field for persistent guidance that's applied automatically to every chat and workflow in the project — “Every chat and workflow in this project follows these automatically.” Use it to set the standing context you'd otherwise repeat each time — for example, the standards to evaluate against, the tone to use, or details of the site or client. Enter your text and select Save Instructions.
Members
The Members tab shows the people from your workspace who can collaborate on the project, in a table with their name and email. To add or remove people, search the workspace-member list and tick or untick the box next to each person — you can only add people who are already in your workspace. The person who created the project is marked Creator and can't be removed.
Starting work in a project
New chat
Select New Chat to open a fresh chat inside the project. It uses the familiar chat interface, and a project chip in the chat header shows which project the chat belongs to. Because the chat is in the project, SoterAI draws on the project's context — instructions, sources and the summaries of earlier work — as you go.
New workflow
Select New Workflow to pick a workflow from your My Workflows list and run it inside the current project — “Pick a workflow from My Workflows to run it in this project.” Search the list to find one quickly. As with chats, the workflow runs in the project's context and the project chip shows where the work is happening.
How project context helps
Everything gathered in a project feeds SoterAI's understanding of the work: the project's instructions and description, the files and links you've added as sources, and the summaries of earlier chats and workflow runs. That's what lets you say “continue from where we left off” and have SoterAI pick up the thread.
When a project isn't active
In a completed or archived project the content is frozen: you'll see a banner reading “This project is completed — Content is read-only. Reactivate the project to start chats, edit instructions or manage sources,” and the composer in its chats is replaced with a read-only notice. Select Reopen Project to make it active again. You can still manage members and change the status or visibility while it's frozen.
