This article covers the Projects home page: how to create a project, find the projects you're working on, rename one, and change its status or visibility. For what happens once you're inside a project, see Working inside a project.

The Projects home page

Select Projects at the top of the left-hand navigation to open the home page. It's titled Projects, with the subtitle “Organise your work tasks in SoterAI.”

Across the top you'll find:

  • Active, Completed and Archived tabs — these filter your projects by status.
  • A Search projects box for finding a project by name.
  • The New Project button.

Each project appears as a tile showing a folder icon, the project title, an optional description, the number of chats, the number of members, when it was last active, and a badge showing whether it's Private or Public. Select Open Project to go in.

Every tile also has a three-dot (⋮) menu in its top-right corner. This is the project's actions menu — open it for quick actions on that project without going inside: Edit Project, Complete Project or Archive Project, and Make Public / Make Private. The same three-dot (⋮) menu appears in the header when you open a project, so you can reach these actions from either place. Which items appear depends on the project's status (see below).

Before you've created anything, the page shows an empty state: “No active projects yet — Create your first project to keep related chats, workflows and files in one place.”

Create a project

  1. On the Projects home page, select New Project.
  2. Enter a Project Name (for example, a claim or inspection reference).
  3. Optionally add a Description — this appears on the project tile and is also used as context for the AI.
  4. Select Create Project.

Your new project opens ready to use. It starts as Private, with you as its only member and its status set to Active.

Find a project

Use the Active, Completed and Archived tabs to switch between projects at each stage, and type in the search box to filter by name. Recently opened projects also appear under Recent in the left-hand navigation.

Rename a project or edit its description

Open the three-dot (⋮) menu (on the tile or in the project header) and choose Edit Project. You can update the project's name and description there, then save.

Complete or archive a project

A project has three statuses:

StatusWhat it means
ActiveThe project is in progress. This is the only status that accepts new chats, workflows, sources and edits.
CompletedThe work is finished. The project moves to the Completed tab and its chats become read-only.
ArchivedThe project is put away. It moves to the Archived tab and its chats become read-only.

To change status, open the three-dot (⋮) menu on the tile or in the project header and choose Complete Project or Archive Project. A completed or archived project can be brought back to Active at any time: open it and select Reopen Project (also available in the three-dot menu). Note that a completed project can't be sent straight to archived — reopen it first if you need to archive it.

The menu is context-sensitive: on an active project it shows Edit Project, Complete Project, Archive Project and Make Public/Make Private; on a completed or archived project the Complete and Archive items are replaced by Reopen Project.

Inside a completed or archived project you'll see a banner: “This project is completed — Content is read-only. Reactivate the project to start chats, edit instructions or manage sources.”

When a project isn't active, you can still add or remove members and change its status or visibility — freezing a project blocks new content, not administration.

Make a project private or public

Every project is either Private or Public. You switch between the two from the three-dot (⋮) menu: on a private project the menu shows Make Public, and on a public project it shows Make Private.

  • Private (the default) — only you and the members you invite can see or open the project. Even workspace Managers and Owners can't see it unless they're invited.
  • Public — everyone in your workspace can view the project. Invited members (except Read-Only) can contribute, and workspace Managers and Owners can manage it alongside you.
