Getting started with ProjectsComing soon
Projects give you a single, persistent place to organise everything connected to one piece of real-world work — a claim, an inspection, an audit, an ergonomic programme, a client engagement or a renewal. Instead of your chats, workflows and documents being scattered across SoterAI, a project keeps them together so you can pick up exactly where you left off.
At a glance
| What it is | Details |
|---|---|
| Where to find it | Projects is the first item in the left-hand navigation, above Workflows. |
| What it holds | Chats, workflow runs, sources (files and links) and shared instructions — all in one container. |
| Who can use it | Anyone who can start a chat or workflow. Read-Only members can be invited with view-only access. Action-Access users don't see Projects. |
| Availability | Available on all plans. Your workspace administrator may need to switch the feature on. |
How projects work
Every project is a shared context. When you start a new chat or run a workflow inside a project, SoterAI draws on what's already there — earlier chats, workflow outputs, the files and links you've added as sources, the timeline of past activity, and any instructions you've set. The goal is simple: you can say “continue from where we left off” and SoterAI understands the prior work.
A project brings four things together:
- Chats and workflows — new work you start inside the project, plus existing chats you attach to it.
- Sources — files and URLs you add to give every chat and workflow extra context. SoterAI can read them directly.
- Instructions — persistent guidance that's applied automatically to everything done in the project.
- Members — the people from your workspace who can collaborate on the project.

Who can see and change a project
Projects use your existing workspace permissions — there are no separate project roles. What people can do depends on whether the project is private or public, and on their workspace role.
| Private project (default) | Public project | |
|---|---|---|
| Who can see it | Only the creator and invited members. Workspace Managers and Owners cannot see it. | Everyone in the workspace can view it. |
| Who can contribute (start chats/workflows, add sources, edit Instructions) | Invited members, except Read-Only. | Invited members (except Read-Only) — not every viewer. |
| Who can manage it (members, status, visibility, name/description) | The creator only. | The creator, plus workspace Managers and Owners. |
New projects are private by default, starting with you as the only member. A private project behaves like a private conversation: even workspace Managers and Owners can't open it unless they've been invited.
Things to know
- Attaching a chat is one-way. You can start a new chat in a project, or attach an existing chat that has never been in a project — but once a chat is in a project it can't be moved elsewhere or removed. To move work, start a new chat in the target project.
- Only active projects accept new content. When a project is completed or archived, its existing chats become read-only and you can't add new chats, workflows or sources. You can still manage members and change the status or visibility. Reopen the project to resume work.
- Sources are added deliberately. Files you upload inside a chat are not automatically added to project sources — add files and links in the Sources tab.
- Workspace Data Sources are separate. Your workspace's Data Sources remain available to SoterAI everywhere and aren't tied to individual projects. Project files stay within the project and don't appear in the Data Sources area or in ordinary chats.
