The Records page migration
This article is for users who have been using the previous Records Management experience in SoterAI. If you are new to Records, start with Records in SoterAI.
What changed
The Records section of SoterAI has been redesigned to match the Workflows experience. The main changes affect how you navigate and discover record types.
| Previously | Now |
|---|---|
| A Records Management entry in the left-hand navigation with a dropdown of all available record types | A single Records entry in the left-hand navigation that opens the Records page |
| All record types displayed in one flat list | Record types grouped by category under My Records, with additional templates available in the Library |
| No way to browse additional pre-built record type templates | A Library tab with pre-built templates organised by vertical (EHS/Risk, Claims, and more), each with a field-count and field preview |
| Sharing activity accessible from individual record type pages and a separate Records Management overview | A dedicated Sharing tab on the Records page — inbox, shared with you, shared by you, and active share links all in one place |
| Archive and sharing actions accessed from within a record type's own page | Archive, Share with a workspace, and Get share link accessed from the kebab menu (⋮) on each record type card in My Records |
What stayed the same
- Your record types are unchanged. All record types from your previous Records Management setup appear in My Records, grouped by category. Nothing is deleted or disabled.
- Your records are unchanged. Every record created under any record type is fully preserved.
- Direct links to record type pages still work. Existing deep links to record registers, new record forms, and edit pages continue to resolve.
- Sharing is unchanged. Shared record types and any active share links are not affected by the navigation change. They are now accessed from the Sharing tab.
Finding your record types after the change
If you used to navigate to a specific record type through the Records Management dropdown, here is how to reach it now:
- Select Records in the left-hand navigation.
- You are on the My Records tab by default. Your record types appear here, grouped by category.
- Select View on the record type card to open its record register.
You can also use the Search record types… bar at the top of the page to jump to any record type by name.
Finding templates you have not used yet
Pre-built record type templates that you have not yet added to your workspace now live in the Library tab, organised by vertical. Select + Use Template on any card to create a record type from that template. See Finding and using record type templates for a full walkthrough.
