Setting up your Workspace Structure

Welcome to the SoterAI onboarding module on how to build your workspace structure. In this video, we'll walk through how workspaces are set up, and more importantly, why this structure matters.

In SoterAI, workspaces are designed to mirror how your organization actually operates. They allow you to organize safety, risk, and compliance work across multiple sites, locations, facilities, or even different clients — all within a single, structured environment.

A well-built workspace structure makes it easier to manage risk at scale. It ensures SoterAI understands the context of each site, so insights, recommendations, and compliance checks are relevant and accurate.

Creating a New Workspace

To get started, you'll create a new workspace by selecting the "Add New Workspace" option in the top right corner of the dashboard. From here, you'll define the parent workspace. This is typically your main company or organization and acts as the top level of your structure.

Next, you'll name the workspace based on the location, facility, or client you're managing. For example, this could be a specific state, region, or individual site. This flexibility allows you to reflect how your operations are organized in the real world.

You'll then select the geographic details, including country and state, followed by the industry code. SoterAI uses NAICS industry codes to better understand the type of work being performed. If you don't know the exact code, you can simply search by industry name and select the most relevant option.

You can also add a short description of the business activities. This helps SoterAI build a deeper understanding of the work being done in that workspace, which improves the quality of risk insights and AI-driven support.

By structuring your workspaces correctly from the start, you set the foundation for more accurate analysis, better visibility across sites, and stronger safety and compliance outcomes.
