Welcome to the SoterAI onboarding module on workflows. In this video, we'll walk through how to use workflows, how to find new ones in the Library, and how they guide you step by step through key tasks.
Firstly, navigate to the Workflows home page on the left-hand toolbar. Workflows in SoterAI are designed to remove guesswork. Think of a workflow as a fully pre-prompted task — instead of writing prompts from scratch, each workflow breaks the task into clear, guided steps, helping you complete complex activities consistently and efficiently.
Your Workflows home page is your personal collection — it shows the workflows you've saved and any custom workflows shared in your workspace. To discover new ones, head to the Library.
The Library contains all of SoterAI's pre-built workflows, organised into categories based on the type of work they support — from EHS and risk management through to analytics and more. Browse the category that best matches your role to find workflows that align with your day-to-day work. You'll also find a Getting Started category, with workflows designed to walk you through the platform itself — including connecting your other apps to SoterAI, uploading to data sources, and capturing and storing data in records management.
If you want to learn more about a workflow before using it, click the information icon to see a description of what it does. When you find one you want to keep, click the Add button — this saves it to your Workflows home page so it's always ready to go.
To run a workflow, click "Use Now". From there, SoterAI will guide you step by step, prompting you for the right inputs at the right time.
To upload files to a workflow, simply drag the file into the chat from your computer. You can add up to ten files per message, and you can upload multiple times if needed.
As you work through a workflow, you'll see clear instructions and questions that shape the final outcome. You may also see AI-suggested prompt buttons to help you move to the next step. If these don't match what you want to do, you can ignore them and type your own prompt at any time.
When you're finished, you can return to the Workflows home page by clicking "Workflows" in the toolbar. This allows you to start a new task at any time.
The Workflows home page and Library together give you a central place to discover, save, and launch the workflows that support your day-to-day work.
