Archiving and restoring workflows in SoterAI

Archive a custom workflow to remove it from use without permanently deleting it. Archived workflows can be restored at any time from the Library.

Permission required: manage_workflows in the owning workspace (held by workspace owners and managers) for both archiving and restoring.

Archiving a workflow

  1. Go to the Workflows page and find the workflow you want to archive.
  2. Click the ⋮ menu on the workflow tile and select Archive.
  3. A confirmation dialog (“Archive this workflow?”) appears. Click Archive to confirm.

Once archived:

  • The workflow is removed from all workspaces — including any workspaces it was shared with and any organisation-wide sharing.
  • The workflow moves to the Archived tab of the Library, visible to owners and managers of the owning workspace.

Archiving removes the workflow for all recipients at once, with no grace period. If the workflow is widely shared, notify recipients before archiving.

Restoring a workflow

  1. Go to the Workflows page and open the Library tab.
  2. Open the Archived section.
  3. Find the workflow and click Restore.

After restoring:

  • The workflow is reinstated in the owning workspace.
  • All previous sharing is automatically restored — any workspace and organisation-wide shares are reinstated without needing to re-apply them manually.

Things to know

  • Archiving is reversible — you can restore a workflow at any time.
  • Permanent deletion of custom workflows is not supported.
  • Clones of an archived workflow are not affected — they are independent copies owned by their own workspace and continue to function normally.
  • The Archived section in the Library is only visible to owners and managers of the owning workspace. Other users do not see archived workflows.
